Internship Duties

Throughout my twelve week internship with the GOLDOC Venue Management functional area, I was completely immersed in the final process for games time especially in the area of the Venue Communications Centre (VCC). This saw me manage much of the operational support for the VCC, of which was culminated by five team members across the whole Oxenford Precinct. I provided administration support in managing invitees of meetings, producing attendance lists, setting up meeting rooms and communicating with all relevant parties. I also generated template PowerPoint slides to be used in these meetings to ensure consistency across all meetings as well as filing all documents in the online database. Additionally, I took detailed notes during sessions and delivered venue specific engagement activities to improve the interaction of staff, these proved to be very successful on all five occasions. Furthermore, I assisted in updating and finalising Games time operational documents such as daily run-sheets, as well as creating pre-competition schedules and venue space lists. Beyond this I then became operational at the Oxenford Precinct where myself and four other interns ran the VCC for the entirety of the games period. Over the 2 weeks of games, I was in charge of monitoring a group of 10 volunteers at a time (30 in total), making sure they were comfortable in their role. I had 2 spare radios for myself that I continuously monitored on Operations 1 & 2, which were the busiest talk groups. We had 10 in total which consisted of:

Operations 1: Front of House

Operations 2: Back of house

Spectator Services North

Spectator Services South

Medical

Sport 1: Boxing

Sport 2: Table Tennis

Sport 3: Squash.

If one of the other radio channels were speaking to the Venue Communications Center (VCC), I would turn my radio to that channel and listen in, providing assistance when needed. I was also in charge of handing the incident forms into the Event Control Room (ECR), which had QLD Emergency Services, security and the Venue General Manager inside. The ECR space was designed so that if anything serious happened on venue, these parties could communicate and make a committee to resolve the issue as it was necessary.
